LED screen rental for events in HCMC: 2026 prices and the 5 things to check

An event stage with an LED screen and lighting rig - the budget line that dominates event costs in Ho Chi Minh City

The LED screen is usually the second most expensive item in an event, after the venue. Yet most first-time renters do not know what they are paying for: what pitch means, how m² is counted, and why two quotes for the same "20m² screen" differ by half.

TL;DR

2026 reference prices for event LED screen rental in Ho Chi Minh City: 350,000-500,000 VND/m²/day for P3-P4 indoor and 500,000-800,000 VND/m²/day for P2.5-P3 outdoor, including installation and a standby technician. Price depends on 4 factors: pitch (fineness), indoor or outdoor placement, rental duration and attached technical requirements. Before signing, check 5 things: pitch matched to viewer distance, the venue's power supply, the backup-module plan, the content format, and a clause keeping a technician on site for the whole event.

What does LED screen rental cost in HCMC in 2026?

The HCMC rental market prices by square meter per event day, usually including the truss or ground support, installation, teardown and one standby technician. Reference levels across reputable suppliers:

  • P4 indoor: 350,000-450,000 VND/m²/day - fits conference stage backdrops and weddings with viewers from 5m away.
  • P3 indoor: 400,000-500,000 VND/m²/day - the most popular pick for galas, year-end parties and product launches.
  • P3 outdoor: 500,000-650,000 VND/m²/day - waterproof, 2-3 times brighter than indoor panels to stay readable in sunlight.
  • P2.5 indoor premium: 550,000-800,000 VND/m²/day - for filmed or livestreamed events where viewers or cameras sit close to the screen.

Reference prices compiled from early-2026 HCMC market rates, excluding VAT, varying by season and supplier. Rentals of 2+ days or over 30m² usually earn a 10-20% discount.

What is pitch, and how do you choose it?

Pitch (P) is the distance between two pixels on an LED panel, in millimeters. P2.5 means the LEDs sit 2.5mm apart - the smaller the number, the finer the image and the higher the price. The quick rule technicians use: the minimum viewer distance in meters roughly equals the pitch number. If the nearest viewer stands 3m from the screen, P3 is fine enough; paying extra for P2.5 buys a difference almost nobody notices.

A reverse tip few people catch: if the event is filmed or livestreamed, choose one pitch finer than the naked eye needs, and require a refresh rate of 3840Hz or higher. Cameras scrutinize LED panels far more harshly than eyes do - a low-refresh screen shows flickering stripes (moiré) on video, one of the most common flaws in event footage.

How do you budget an LED screen quickly?

Formula: area (m²) × unit price by pitch × days + extras. Example, a 300-guest gala stage: main screen 8m × 4m = 32m², P3 indoor at 450,000 VND/m² → 14.4M VND/day. Add 2 wing screens of 2m × 3m each = 12m² → 5.4M. Total visual equipment about 20M VND/day, before sound and lighting. This number lets you sanity-check every quote you receive.

The common extras initial quotes leave out: a generator when the venue's power is insufficient (2-4M VND/day), after-hours or overnight installation fees, a signal processor for high-resolution content, and content design fees if you have no files yet.

What are the 5 things to check before signing?

  1. Pitch matched to viewer distance: get the pitch confirmed in writing. "A sharp LED screen" in a quote is unenforceable; "P3 indoor, 3840Hz refresh" is.
  2. The venue's power supply: LED screens draw 400-800W/m². A 30m² screen needs a stable 15-24kW with its own breaker. Ask the venue about available capacity in advance - do not discover a mid-show blackout on event day.
  3. The backup plan: ask outright, "if a module dies mid-event, how fast is the swap?". Professional suppliers carry spare modules and commit to swaps under 10 minutes - and that belongs in the contract.
  4. Content format: send the screen ratio (e.g. 2:1 for an 8×4m screen) to your design team in advance. 16:9 content projected on a 2:1 screen gets cropped or distorted - the most common error at self-produced events.
  5. A standby technician: confirm someone stays for the whole program (not install-and-leave), and agree who operates the content switching - the screen supplier or your show crew.

Rent the screen alone or as part of a package?

If the event needs only a simple backdrop screen, renting directly from an LED specialist is cheapest. But once a program runs screens, sound, lighting and performances at once, renting from separate suppliers creates coordination risk: mismatched signals, overlapping install schedules, and incidents nobody owns end to end. At that point a single coordinating contact saves more than the fee differences combined - which is why we run our LED screen service inside a full event ecosystem on a vetted partner network, with sound, lighting and production filming in sync.

Frequently asked questions

How much does event LED screen rental cost in HCMC?

2026 reference prices run 350,000-500,000 VND/m²/day for P3-P4 indoor screens and 500,000-800,000 VND/m²/day for P2.5-P3 outdoor, including installation and a standby technician. Multi-day rentals or large areas usually earn 10-20% off.

Should you choose P2.5, P3 or P4?

Choose by the nearest viewer's distance: the quick rule is minimum distance in meters roughly equals the pitch number. P2.5 for viewers from 3m, P3 from 4m, P4 for stages viewed from 5m or more. Filmed events should go one pitch finer with a refresh rate of 3840Hz or higher.

What power supply does an LED screen need?

LED screens draw on average 400-800W/m². A 20m² screen needs a stable supply of roughly 10-16kW with its own breaker; large screens need 3-phase power. Venues without enough capacity must rent a generator, usually priced outside the screen rental.

How far ahead should you book an LED screen?

Lock it 2-3 weeks ahead for normal events, and 1-2 months in the November-January peak season. Booking early holds better prices and leaves time to test content at the correct screen ratio.
